WFDF Seeks Event and Administrative Coordinators

The World Flying Disc Federation (WFDF), the international sports federation recognized by the IOC that is responsible for world governance of flying disc (frisbee) sports, is seeking one or two individuals to serve as an Event Coordinator (50%) and Administrative Coordinator (50%) to support the growth of our expanding organization. The positions contemplate a part-time (50%) consultancy opportunity for each position, although an individual with the right qualifications could be considered for both areas in a full-time consultancy position. The positions are virtual and so the applicant would need to demonstrate access to the office equipment required to perform the job.

WFDF Event Coordinator

As the WFDF Event Coordinator, you will be connected with Tournament Organizing Committees (TOCs) located around the globe engaging with them to support the delivery of WFDF tournaments. Reporting to the WFDF Managing Director of Events and Operations, this role will be involved in events from their early organizing efforts to on the ground delivery at tournament locations. The position is suited for an experienced, outgoing, self-motivated individual with superior communication skills who is extremely organized.

Key Responsibilities

● Assistance with tournament bid and review process.

● Coordination with TOCs on pre-event planning tasks.

● Pre-Event registration, attendance and team/national federation communications.

● Input into tournament structure, seeding, schedule and planning.

● Team/Player registration and check-in.

● Coordination of protocol and ceremony aspects of tournament.

● Event coordination and troubleshooting during events.

● Event closure and packout, post event reporting.

Requirements

● University degree or equivalent.

● Sport tournament organizing experience (disc sports or other).

● Superior analytical, communications and organizational skills.

● Command of Microsoft Office or the Google Suite of products.

● Strong project and process management skills.

● Ability to balance multiple tasks and projects simultaneously.

● Excellent knowledge of English is required, proficiency in other languages an asset.

● Willingness and ability to travel for events without undue restrictions.

● Ability to work as required sometimes outside your time zone’s normal working hours to accommodate TOC’s located around the globe

● Access to an appropriate work environment, including computer, printer, scanner, filing system, phone and internet access.

The WFDF Event Coordinator is a part-time consultancy position with the expectation of working around 20 hours/week on average throughout the year, with considerable variability over the year. Compensation range is US$20,000-$22,500/year depending on candidate’s qualifications. WFDF envisions that the Event Coordinator job could grow into a full time position over time.

WFDF Administration Coordinator (Administrative Assistant)

As the Administrative Coordinator, you will provide support for the regular administrative tasks of the WFDF Executive Director, officers, and board of directors.

Key responsibilities

Performs everyday administrative tasks: preparation of various notes-minutes, reports, correspondence, expense forms, documents, filing, ordering supplies, etc.
Plans and coordinates meetings and other similar activities.
Deals with mail and telephone calls, and filters and forwards these.
Keeps the administrative electronic and paper filing system up to date.
Manages website updates and WFDF’s address database; strong IT skills a plus.
Assists the Executive Director with administrative support and during meetings.
Helps coordinate Continental Associations and Commission activities.
Organises and follows up the logistics of WFDF administrative events (Congress etc.).
Follows up on existing membership activities and helps develop additional services to build and maintain strong, long-lasting relationships with our Members.
Prepares presentations and makes analysis related to relevant research topics and collect best practices from Members.
Assist in WFDF development activities.
Requirements

University degree or equivalent.
At least two years’ professional experience in an office environment.
Excellent knowledge of English is required, proficiency in other languages an asset.
Command of Microsoft Office or the Google Suite of products.
Excellent social and intercultural skills.
Demonstrable familiarity with Olympic Movement governance and activities is a strong plus.
Strong project and process management skillswith an ability to work independently and solution-focused as no micromanagement is provided.
Ability to balance multiple tasks and projects simultaneously.
Willingness and ability to travel for events or meetings without undue restrictions.
Ability to work as required sometimes outside your time zone’s normal working hours for board or other meetings around the globe
